3. How we collect personal data
We collect personal data in the following ways:

- Automatically when you use the website or app, through logs, cookies, SDKs, device identifiers, or similar technologies.
- From other users, for example when another player adds you to a match, records a result involving you, or confirms scoring information connected to your account.
- From third-party providers that support authentication, hosting, notifications, payments, advertising, analytics, crash reporting, or app distribution.
4. How we use personal data
We use personal data to:
- create and manage user accounts;
- authenticate users and keep accounts secure;
- provide scoring, match setup, live standings, history, statistics, progression, calling cards, and social sharing features;
- display match results, user profiles, and gameplay records to relevant users;
- process purchases, maintain entitlements, and manage your ad-free subscription status;
- send service and transactional communications, such as verification, security, password reset, support, or account notices;
- monitor performance, troubleshoot errors, maintain security, and prevent abuse, cheating, fraud, spam, and unauthorised access;
- improve and develop our Services, features, and course data;
- comply with legal obligations and enforce our terms, policies, and rights;
- with your consent where required, show personalised ads, use advertising-related technologies, send optional marketing communications, or use non-essential cookies or technologies.
Some personal data is required so we can provide the Services to you. For example, without certain account information, authentication information, and match-related data, you may not be able to create an account, sign in, participate in matches, or use core GolfQuarters features.
5. Our legal bases for processing
Where UK GDPR or EU GDPR applies, we rely on one or more of the following legal bases:
- Contract – where processing is necessary to provide the Services to you, such as operating your account, storing scores, displaying your match history, and delivering the features you request.
- Legitimate interests – where processing is necessary for our legitimate interests in operating, securing, improving, and administering the Services, provided those interests are not overridden by your rights. These interests include platform security, preventing fraud, abuse and cheating, maintaining fair play, improving performance and reliability, fixing bugs, understanding service usage, defending legal claims, and protecting our users and business.
- Legal obligation – where we need to comply with applicable laws, regulations, court orders, or law enforcement requests.
- Consent – where consent is required, for example for certain cookies, marketing communications, or optional permissions. You can withdraw consent at any time, although this will not affect processing carried out before withdrawal.
6. When we share personal data
We may share personal data with:
- other users, to the extent needed for the core social and gameplay features of GolfQuarters, including usernames, profile information you choose to make visible, match participation, scores, results, and shared content;
- service providers and processors that help us run the Services, including Amazon Web Services components we use for hosting and core infrastructure (such as Cognito, API Gateway, Lambda, DynamoDB, S3, and SES), app distribution or payment partners such as Apple App Store and Google Play, and advertising partners such as Google AdMob where relevant;
- professional advisers, insurers, auditors, or legal representatives where reasonably necessary;
- authorities or regulators where required by law or where necessary to establish, exercise, or defend legal claims;
- a buyer, investor, or successor in connection with a merger, acquisition, financing, reorganisation, sale of assets, or similar corporate transaction.
7. International transfers
Our core GolfQuarters application data is hosted in Amazon Web Services infrastructure in eu-west-1 (Ireland), and we aim to keep core service data in that region. Some third-party providers we use, including app store operators and advertising partners such as Google AdMob, may nevertheless process limited personal data outside the UK or European Economic Area, or across multiple regions, as part of providing their services.
Where this happens, we take steps designed to ensure an appropriate level of protection, such as relying on adequacy regulations, standard contractual clauses, or other recognised safeguards where required.
If you want more information about any international processing or the safeguards we use, you can contact us at support@golfquarters.net.
8. Data retention
We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Services, maintain records, resolve disputes, enforce agreements, and comply with legal obligations.
Our current retention approach is:
- account and profile data: while your account remains active and normally for up to 12 months after account deletion or closure;
- match history, scores, and statistics: while your account remains active and normally for up to 12 months after account deletion, after which we may delete or anonymise the data where reasonably feasible;
- support requests and correspondence: normally up to 24 months;
- security, access, and API logs: normally up to 90 days;
- transaction and entitlement records: for as long as needed to evidence purchases and, where required, meet tax, accounting, or legal obligations, and normally up to 6 years where records must be retained for those purposes;
We may keep data for longer where reasonably necessary to resolve disputes, prevent fraud or abuse, enforce our agreements, or comply with legal obligations. Residual copies of personal data may also remain in secure backups for a limited period before being overwritten in the ordinary backup cycle.
9. Security
We use technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. However, no method of transmission over the internet or method of electronic storage is completely secure, so we cannot guarantee absolute security.
10. Your rights
Depending on where you live, you may have rights including the right to:
- request access to personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request deletion of your personal data in certain circumstances;
- request restriction of processing in certain circumstances;
- object to processing based on legitimate interests;
- request portability of certain personal data;
- withdraw consent where processing is based on consent;
- complain to a data protection regulator.
To exercise your rights, contact us at support@golfquarters.net. We may need to verify your identity before responding.
11. Account deletion
You can request deletion of your GolfQuarters account through any in-app deletion feature we make available or through the website/support route we provide, including by contacting support@golfquarters.net. We may ask you to verify your identity or re-authenticate before completing deletion.
When we process a verified deletion request, we aim to delete or irreversibly anonymise your personal data without undue delay, subject to any lawful retention we need for security, fraud prevention, legal compliance, tax, accounting, billing, or dispute-resolution purposes.
Because GolfQuarters includes shared match and social features, some historic match records, scores, results, and related statistics may be retained in anonymised form where reasonably necessary to preserve other users’ records and the integrity of shared gameplay history.
If you have an active subscription purchased through Apple App Store or Google Play, deleting your account does not itself cancel future renewal charges. Subscriptions must be managed through the relevant app store unless that store provides another method.
12. Automated decision-making
We do not carry out solely automated decision-making, including profiling, that produces legal or similarly significant effects on users.
13. Children
GolfQuarters is for users aged 13 and over. We do not knowingly allow children under 13 to create accounts or provide personal data to us. If you believe a child under 13 has provided personal data to us, please contact us so we can investigate and take appropriate action.
If the Services are likely to be accessed by children, we will take account of applicable child privacy and online safety requirements.
14. Advertising and ad consent
The free version of GolfQuarters may display in-app advertising, including through Google AdMob or similar ad partners. If you buy our ad-free subscription, eligible in-app ads covered by that subscription should be removed for the period of your active entitlement.
For users in the UK, EEA, or Switzerland, we will seek consent for personalised advertising or advertising-related storage/access where required by law and platform rules. You can change relevant privacy choices in your device settings or any in-app privacy options we make available.
15. Cookies and similar technologies
Our website may use strictly necessary cookies or similar technologies for core functions such as security, network management, or basic site operation. Our app may use SDKs and similar technologies for authentication, diagnostics, in-app purchases, and advertising.
If we introduce non-essential cookies or similar technologies on the website or app, such as analytics or advertising technologies that require consent, we will provide notice and request consent where required by law. You can also control certain storage or permissions through your browser, device, or app settings, although doing so may affect functionality.
16. Third-party links and services
The Services may link to third-party websites, app stores, social platforms, or services. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy notices.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will post the latest version on our website and update the “Last updated” date above. Where required, we will notify you of material changes by email, in-app notice, or other appropriate means.
18. Complaints
If you are unhappy with how we handle your personal data, please contact us first so we can try to resolve the issue. You may also have the right to complain to the UK Information Commissioner’s Office (“ICO”) or your local data protection regulator.
